- enquiry, correspondence, booking, attendance, invoicing and payment records;
- professional information relevant to a programme, service, event or consultancy assignment;
- accessibility, dietary, health or pastoral information that you choose to provide where it is needed to support safe and inclusive participation;

Why we use information and our lawful bases
| Purpose | Lawful basis |
|---|---|
| Responding to enquiries and taking steps requested before a booking or contract | Contract or steps before entering a contract; legitimate interests |
| Administering programmes, events, bookings, services, payments and accounts | Contract; legal obligation; legitimate interests |
| Providing appropriate accessibility, dietary, pastoral or emergency support | Contract, legitimate interests or vital interests. Where information is special-category data, we also identify an Article 9 condition, which may include explicit consent |
| Keeping services safe, preventing misuse and handling safeguarding concerns | Legal obligation, legitimate interests or vital interests, with an appropriate special-category condition where required |
| Keeping professional contacts informed about relevant EducareM work | Consent where required by PECR, or legitimate interests for proportionate business-to-business communications, with a clear opt-out |
| Improving our work, maintaining records and establishing or defending legal claims | Legitimate interests; legal obligation |
Where we rely on legitimate interests, those interests include operating and improving EducareM, communicating with schools and partners, maintaining network and information security, and keeping proportionate records. We balance these interests against your rights and reasonable expectations.
Who receives information
We disclose only what is reasonably necessary. Recipients may include EducareM trustees, staff and authorised consultants; venues and programme partners; website, email, booking, payment, accounting, IT and secure-storage providers acting for us; professional advisers; insurers; auditors; regulators; law-enforcement bodies; and safeguarding or emergency services where necessary.
We do not sell personal information. We do not provide it to other organisations for their own direct marketing.
International transfers
Some service providers may store or access information outside the United Kingdom. Where that happens, we use a lawful transfer mechanism, such as UK adequacy regulations or the UK International Data Transfer Agreement/Addendum, together with appropriate safeguards. You may ask us for further information about the safeguards used.
How long we keep information
| Record | Typical retention |
|---|---|
| General enquiries and routine correspondence | Up to 2 years after the matter closes |
| Bookings, contracts, invoices and accounting records | Usually 6 years after the relevant financial year or contract ends |
| Marketing preferences | Until consent is withdrawn or you object; minimal suppression records may be retained to respect that choice |
| Website security logs | Normally up to 12 months, unless required for investigation |
| Safeguarding, insurance, complaint or legal records | According to the nature of the matter, applicable guidance, limitation periods and legal duties |
We may retain information for longer where law, safeguarding, insurance or legal proceedings require it, and delete or anonymise it when it is no longer needed.
Your rights
Depending on the circumstances and lawful basis, you may have rights to access your information; correct inaccurate information; request erasure; restrict processing; receive portable data; and object to processing. Where we rely on consent, you may withdraw it at any time without affecting earlier lawful processing.
To exercise a right, email admin@educarem.org.uk. We will normally respond within one month and do not usually charge a fee. We may ask for proportionate proof of identity.
Other important information
You are not generally required by law to give us personal information. Information marked as required for a booking or contract is needed so that we can provide the service; without it, we may be unable to accept or fulfil the booking. EducareM does not use solely automated decision-making that produces legal or similarly significant effects.
If we receive your information from someone else, it will usually come from your school, trust, diocese, employer, programme partner or a publicly available professional source. We will provide privacy information within the timescale required by law.
Complaints about data protection
Please contact us first so we can try to resolve the matter. You may also complain to the Information Commissioner’s Office (ICO): ico.org.uk/make-a-complaint, telephone 0303 123 1113, or write to ICO, Wycliffe House, Water Lane, Wilmslow, Cheshire, SK9 5AF.
Inclusive access
Accessibility statement
EducareM wants this website to be accessible to the widest possible audience. We aim to follow the Web Content Accessibility Guidelines (WCAG) 2.2 at level AA and to make reasonable adjustments in line with the Equality Act 2010.
What you should be able to do
- zoom up to at least 200% without losing essential content;
- navigate most of the site using a keyboard;
- use headings, meaningful links and alternative text to understand content;
- change colours, contrast and text presentation using browser or assistive settings; and
- use common screen readers and speech-recognition tools.
Known limitations
Some older PDF or Word documents, third-party embeds, videos without captions, and legacy pages may not fully meet current accessibility standards. We are reviewing older content and will prioritise material needed to access our services. Third-party content may be outside our direct control, but we will seek an accessible alternative where reasonably possible.
Alternative formats and feedback
If you need information in a different format, or find an accessibility problem, email admin@educarem.org.uk. Please tell us the page or document, the format you need and how best to contact you. We aim to acknowledge requests within five working days.
This statement was prepared on 22 September 2026. It should be reviewed after each material redesign and at least annually, using a combination of automated and manual checks.
Listening and learning
Complaints, concerns and safeguarding
We welcome feedback and take concerns seriously. In the first instance, please email admin@educarem.org.uk, explaining what happened, when it happened, the outcome you are seeking and any reasonable adjustments you require. We will direct the matter to an appropriate person and aim to acknowledge it within five working days.
If a concern relates to the conduct of a particular person, do not send it to that person directly. If it concerns immediate danger or a crime, contact the police or emergency services. Safeguarding concerns should be raised promptly in accordance with our safeguarding policy and, where appropriate, with the relevant local authority safeguarding service.
If your complaint concerns fundraising, you may be able to refer it to the Fundraising Regulator after completing EducareM’s complaints process. Concerns about charity governance or serious wrongdoing may fall within the Charity Commission’s remit. These routes do not replace emergency or safeguarding referrals.
